Job Title: Administrative Assistant
Job Summary:
We are a growing Consulting Firm that specialize in construction companies. We are looking for an Administrative Assistant to join our team. The ideal candidate will be a detail-oriented individual with excellent communication, organizational, and multitasking skills. The Administrative Assistant will be responsible for providing support to the company's operations by performing various administrative tasks, managing schedules, and coordinating meetings. Our ideal candidate is Bilingual – Fluent in both Spanish and English.
Duties and Responsibilities:
• Answer phone calls, take messages and respond to emails in a timely manner.
• Assist in the preparation of reports, invoices, and other documents.
• Manage and maintain records and files, both physical and digital.
• Coordinate and schedule meetings, appointments, and travel arrangements for company executives, team members, and subcontractors.
• Monitor and order office supplies, equipment, and materials.
• Perform other administrative tasks, including data entry, photocopying, scanning, and faxing.
• Provide support in project management tasks such as tracking progress, updating records and communicating with clients and subcontractors.
• Assist in preparing project proposals, bids and tenders
• Act as a liaison between the company and its clients, suppliers, and other stakeholders
Qualifications:
• High school diploma or equivalent required; Associate’s or Bachelor’s degree in business administration or related field preferred.
• Proven experience as an administrative assistant, office assistant, or relevant role
• Familiarity with construction industry regulations and procedures would be an advantage
• Excellent verbal and written communication skills.
• Strong organizational and time-management skills, with the ability to multitask and prioritize tasks effectively.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Experience with project management tools such as Trello, Asana, Monday.com, PROCORE, BUILDERTREN, or MS Project would be an advantage.
• Ability to work independently and as part of a team.
• Attention to detail and problem-solving skills.
