Objectives of Role Assist the owner in the efficient day to day business operations
Key tasks and Objectives

Email and Diary and telephone management
- Managing the owners email and diary
- Respond where needed on behalf of owner
Meeting attendance and record keeping
- Attending PCG meetings, taking notes and distributing to the relevant stakeholders
Office Systems management
- Managing and maintaining the operational aspects of the office with contractors
Systems and Procedures
- Helping develop and then maintain the systems and procedures for the office as we grow for the specific divisions that ensure ongoing QA

Assisting owner with stakeholder management
- Following up on behalf of the owner to contractors and suppliers where needed
- Helping source new suppliers where needed
- Assist with stakeholder communication where required
Maintaining the CRM System
- Updating CRM system on behalf of the owner, ensuring all follow ups are completed so that relationships maintained and opportunities materialise
- Identifying and extracting potential opportunities for ongoing business development relationships and updating the CRM system for the owner and BDM
Marketing assistance
- With team develop and uploading relevant projects onto social media site
- Assist and drive the award program
Managing the monthly newsletter
- Overseeing and helping develop the monthly newsletter for contractors and suppliers
Managing & assisting owners correspondence
- managing all word, powerpoint excel and adobe programs and the communication needed within editing and proofing owner’s correspondence
- Assisting in developing submissions and quotes
HR Component
- Working closely with the owner to ensure an efficient thriving company
- Managing induction process by ensuring the contracts, systems, and processes are all completed in accordance with relevant legislation
- Compulsory training – organising, monitoring and recording mandatory training (CPD points) needed for all staff site alongside the Construction Manager
- Helping ensure owner is across the staff anniversaries and team life events
- Helping maintain the self development program for the staff
Managing ad hoc office projects
- Digitising office documentation
- owners emails
- Working with IT to synchronise the online storage and systems
- Coordinating projects that assist in the strategic priorities for the business as directed by the owner
Skills and Abilities
- Preferably tertiary qualified
- Min 3 years experience in EA role
- Excellent writing and editing skills
- Highly proficient at word, powerpoint and adobe to assist with submissions and quotes
- Flair for systems and processes and ensuring these are followed up
- Ability to manage multiple projects
- Strong analytical, interpersonal, written and verbal skills
- An willingness to identify areas for improvement and then take the initiative to create positive change in a collaborative style
- Solutions focused and a proactive can do attitude with a drive to resolve problems

- Calm, supportive and level headed in a high based busy environment with ability to analyse, program and priortise tasks
