Position Summary Assisting Project Managers in the construction of commercial and industrial properties/buildings from start to finish. (Please note that this is not a Junior Project Manager/PM, this role is office based and is administrative in nature).
Key Responsibilities:
Prepare forms and sheets needed by sub-contractors including purchase orders, site instructions, project contact sheets.
Collect subcontractors’ Health and Safety policies Insurance Certificates, and any other legislated documents which will be distributed to site staff by this individual.
Collect subcontractors’ information i.e., warranties, certificates, drawings, and prepare and distribute all close-out documents for manuals in electronic format.
Ensure most current project drawings are available and accessible
Coordinates the flow of information internally via preparation of memorandums or email communication on behalf of the PM.
Prepare, key in, edit and proofread correspondence, change orders, invoices, publications, reports, forms and distribute accordingly.
Sort, process and verify applications, receipts, expenditures, forms, and other documents.
Organize meetings required by PM; record and prepare minutes of meetings when required.
Order office supplies and maintain inventory.
Answer telephone and electronic enquiries and relay telephone calls and messages.
Ensure and enforce compliance to all company, client and legislated safety policies and procedures.
Assist Site Staff with distribution of project documentation
Gather start up documentation at the onset of the project, including such documents as notice of project, project insurance, site orientation program and site trailer & W/C.
Other duties or projects as assigned from time to time.

Education and Experience High school diploma generally required;
Completion of college, or other business administration courses are an asset;
Knowledge of general Construction processes are an asset;
Knowledge of general administrative and clerical procedures;
Knowledge of computers and relevant software applications: Microsoft Office, Excel
Knowledge of customer service principles and practices;
Strong keyboard skills;
Working Conditions
Typical office hours: Monday to Friday – 8:00 am – 4:30 pm; Light to infrequently moderate physical effort. Requires handling of light and moderate weight objects including office equipment and other office supplies and, frequently, sitting for prolonged periods of time while using the telephone and computer.
