Looking for a flexible part-time position with the opportunity to grow into full-time?
Fire Line Group is looking for an organized, dependable, and proactive Office/ Operation Coordinator to join our growing team. This position starts at approximately three days per week, with the opportunity to transition into a full-time career over the next 6β12 months as our company continues to grow.

π― What You'll Do
β’ Support and assist with invoicing of completed work orders
β’ Support management with account receivables and account payables
β’ Communicate daily with welders, mechanics, machinists, and management
β’ Assist with scheduling and job coordination
β’ Maintain organized digital and paper filing systems
β’ Help receive materials and update inventory records
β’ Answer phones, greet customers, and provide professional customer service
β’ Communicate customer inquires for jobs & projects with management and the shop team
β’ Assist with reporting, data entry, and other office duties as required
β’ Familiarity with AI and using it to help support and improve processes β preferred not required

Required Qualifications
β’ Excellent organizational and time management skills
β’ Strong attention to detail and accuracy
β’ Excellent verbal and written communication skills
β’ Basic use of Microsoft Office (Outlook, Word, Excel)
β’ Ability to learn new software and online systems quickly (Shopmonkey, Quickbooks Online)
β’ Ability to prioritize multiple tasks in a fast-paced environment
β’ Professional, positive attitude and willingness to help with ad hoc tasks
β Preferred Qualifications
β’ Experience in an administrative or office support role
β’ Basic bookkeeping experience
β’ Experience working with accounting and shop management software (QuickBooks Online and/or Shopmonkey experience is an asset but not required)
β’ Experience with Quickbooks Time & Payroll an asset but not required
β’ Comfortable using Microsoft Office 365 (Outlook, Word, Excel, Teams, Planner, etc)
β’ Experience with software such as Dext and Plooto
β’ Experience in construction, manufacturing, welding, heavy-duty mechanical, or industrial environments is an asset β not required
β’ Familiarity with inventory systems, job tracking, or purchasing
