Pay: CA$52,000.00 - CA$56,500.00 per year

Job Summary
Seeking an easy-going and organized individual to support our businesses daily operations and keep it running smoothly. Applicants must be able to multitask, have some understanding of accounting software (Quickbooks is considered a plus) and have the ability to self direct and work alone for long periods of time.
Responsibilities
Administrative tasks: Process invoices, schedule work, and maintain office procedures, answer phone and emails enquiries to the best of your ability, delegate to HVAC technicians as needed. Process customer payments in a variety of ways.
Financial tasks: Process accounts payable, accounts receivable, and maintain bookkeeping standards, and account reconciliation with support from external accountant as needed. Drive to post office to check PO box and complete bank deposits when required. Maintain petty cash.
Managerial tasks: Manage and process payroll, post job postings, filter candidates, on-board and train employees on Workforce, and oversee their employment paperwork. Process remittances on a set schedule. Maintain and update policies and procedures as needed.
*Interest in additional managerial duties such as interviewing candidates, assisting with conflict management and coaching will be considered a bonus and may increase the pay rate for the right applicant.
Office efficiency: Restock office supplies, clean common areas and office weekly, ensure filing is organized and cohesive.
Office culture: Promote a positive office culture and run staff meetings in partnership with the business owner. Occasionally organize and attend company events such as golfing, holiday parties, etc.
Use of personal vehicle and cell phone required, phone calls will be routed to your phone during regular business hours and then routed to the on-call technician after hours and on weekends. Use of personal property will be compensated.
Qualifications
Proven experience in an office management or administrative role
Strong organizational skills with the ability to multitask effectively
Proficiency in QuickBooks online or other office software applications strongly preferred, experience using Microsoft excel and word required.
Excellent communication skills, both verbal and written
Experience in payroll processing is preferred but not required if you have enough relevant experience in other aspects
Ability to manage various office functions and assist with team leadership efficiently
Detail-oriented with strong clerical skills
Managerial experience and experience working with people in the trades is a plus. Understanding of trades culture is essential, as you must be able to handle some crass humour while also reminding staff of appropriate topics at work.
