An opportunity has arisen for a part-time Administrative Assistant to join a well-established building contractor in Bloxwich, West Midlands. Days of works are Monday and Friday and holiday cover when required.
Responsibilities
• Minimum 5 years’ experience in an administrative role. Must be proficient in Word, Outlook and Excel.
• Strong organisational skills with the ability to prioritise tasks effectively.
• Excellent written and verbal communication skills.
• Working under the direction of the Office Manager to provide general clerical and administrative support to the Office Manager and other members of staff as part of a busy Admin Team.
• Will be aware of and comply with company policies and procedures, in particular health and safety and security, confidentiality and data protection, reporting any concerns to the Office Manager.
• Duties will include, but not limited to:
• Opening/sorting of incoming post and emails
• Manage calendars and schedule appointments
• Answering the telephone and dealing with customer queries
• Meet and greet visitors
• Type and send quotations and make follow-up call as required
• Request supplier prices / place orders when approved
• Invoicing and chasing overdue payments
• Enter invoices onto job costings sheet and obtain relevant Project Manager approval
• Arranging plant, skips, and Portaloo’s for site
• Administration of Enhanced DBS applications
• Administration of the training matrix
• Health & Safety bi-monthly reminders to current staff and sub-contractors
• Computer input of invoices onto SAGE as and when required (experience not necessary)
• To operate general office equipment such as photocopier and larger plotter
