We have an exciting new vacancy in Alpha Facilities Maintenance for a Service/Maintenance administrator. This is a long term position in which someone with the right skills can grow in the position and progress in a great company that focuses on a great working environment, job and customer satisfaction. This is a full time, permanent role with an attractive salary package and a company pension scheme.

You will be responsible for completing all services & maintenance reports and project O&M’s. You will liaise with the operation & contracts managers, service engineers and site staff.

Key skills and experience required:

Facilities administration experience.
Good computer skills, Word & Excel.
Liaise with the various trade professionals to communicate job reporting. Experience developing technical submittals, completing technical and assessments.

Able to communicate politely and professionally at all levels, internally and with customers.

Your duties will include:
Identify, evaluate, and manage relationships with suppliers.
Negotiate terms and conditions, including pricing, delivery schedules.
Source and procure equipment and materials in accordance with project specifications and production requirements.
Evaluate potential suppliers for quality, reliability, and cost-effectiveness.
Communication within a Team Environment
Analyse price and data
Create and manage purchase orders, ensuring accuracy and compliance with company policies.
Track and expedite orders to meet production and project timelines.
Resolve issues related to shortages, overages, or quality discrepancies.

Skills and Requirements
Mechanically biased buyer on large/medium scale construction projects based in Ireland
Minimum 2-3 years’ experience in a purchasing/buying role required - full training of in-house procedures/systems will be provided;
Engineering experience advantageous but not essential;
Knowledge of / experience in the construction industry would be advantageous;
Excellent written and verbal communication skills essential;
Excellent IT skills essential -

The successful candidate will be technically astute with proven experience in delivering mechanical engineering installation projects circa €100k - €3M+ within commercial, retail and public sector buildings.

The Role -

Organise the project from procurement to completion and maintain active knowledge of the site progress.
Obtain and study the project drawings and specifications, including scope of work as defined in the project specifications.
Maintain open communication with your site team and attend project meetings.
Maintain record documents and approved submittals.
Write and submit all requests for information (RFIs) and maintain log of all RFIs.
Manage to maintain a clean and safe work site.
Manage all site supervisors and help maintain customer relationships.
Over control of manpower in conjunction with other contract managers

Key skills and experience required -

Recognised industry qualifications desirable. Engineering / Installer background would be ideal.
Proven track record in the HVAC / mechanical services industry.
Must have sound knowledge of all mechanical systems.
Able to communicate politely and professionally at all levels, internally and with customers.
Comfortable working and managing a team yet equally as driven when working alone.
Excellent organisational skills and able to manage workload.
Receptive and adaptable to change.
Full driving license.
