For many businesses, fuel is one of the largest ongoing operating expenses. Whether you manage a handful of company vehicles or an entire fleet, keeping track of fuel spend isn't just about budgeting - it's also about protecting your business.

The reality is that unauthorised fuel purchases can happen more easily than many business owners realise. A misplaced fuel card, a card borrowed by someone else, or fuel being purchased outside of work-related use can all add unnecessary costs that often go unnoticed until the monthly statement arrives.

That's where proactive monitoring can make a real difference.

eAlerts are automated email notifications that help fleet managers identify unusual fuel card activity as it happens, rather than discovering it weeks later when invoices are processed.

Instead of manually reviewing every transaction, managers can choose to receive notifications when certain events occur, including:

- Staff spend more than 80% of their monthly card limit.
- Multiple transactions are made on the same card in a single day.
- Fuel purchases occur outside normal operating hours (for example between 8:00pm and 5:00am).
- More than one fuel type is purchased using the same card.

These alerts don't automatically mean something is wrong - but they provide an opportunity to investigate unusual activity before it becomes a larger issue.

For example:
One NZ Fuel Cards customer managed a fleet of 15 company vehicles that were only operated during normal business hours. After activating eAlerts, they received a notification that one of their fuel cards had been used late at night.
The investigation revealed an employee had removed the fuel card from a company vehicle and used it to fill their personal vehicle at an unmanned service station outside business hours.

Because the alert was received immediately, the business was able to contact NZ Fuel Cards, suspend the card, and investigate the transaction before any further misuse occurred.

Fuel theft and unauthorised transactions don't always involve large amounts.

Small purchases made occasionally can accumulate over months, making them difficult to identify during routine invoice reviews. Automated alerts help managers spot unusual patterns early, reducing financial loss and improving accountability across their fleet.

They're also valuable for confirming that company fuel cards are being used as intended, giving businesses greater visibility over vehicle usage and helping reinforce internal fuel policies.

Sometimes the most valuable management tools aren't the ones that save you money every day - they're the ones that alert you on the day something doesn't look quite right.
