We are seeking a reliable, organized, and professional Dispatcher / Administrative Assistant to join our HVAC company.

This position plays an important role in the daily operations of the business by answering phones, scheduling and dispatching technicians to job sites, assisting customers, and handling office administrative tasks.

The ideal candidate is detail-oriented, customer-focused, and able to multitask in a fast-paced environment.

Responsibilities:
• Answer incoming customer calls and schedule service appointments
• Dispatch HVAC technicians to job sites efficiently throughout the day
• Coordinate technician schedules and communicate updates to field staff
• Create and process customer invoices
• Enter and manage wholesaler/vendor invoices and paperwork
• Maintain accurate customer records and job information
• Provide excellent customer service and professionalism over the phone
• Assist with general office and administrative duties as needed
Qualifications:
• Strong phone communication and customer service skills
• Excellent organizational and multitasking abilities
• Basic accounting and invoicing experience preferred
• Proficiency with computers and office software
• Ability to work in a fast-paced office environment
• HVAC, dispatching, or office administration experience is a plus
• Positive attitude, reliability, and strong work ethic
