We are Hiring:
Job Title: Business Development & Operations Coordinator
Reports To: John Cain, CEO
Location: Agawam, MA (some travel in Western MA / Southern VT)
Type: Full-time, exempt
Salary Range: $55,000–$85,000 base + 5–15% performance bonus (tied to new business, contracts, financial accuracy, and cash flow metrics) + benefits (health, 401(k), vehicle allowance)
Purpose: Drive lead generation and client relationships for rental growth; handle core accounting/financial tasks (AR/AP, job costing, reporting, fleet tracking) and basic compliance to maintain clean books, strong cash flow, and data for scaling decisions.
Key Responsibilities
Business Development (40–50%)
Generate and qualify leads (contractors, municipalities, utilities in Western MA/Southern VT) via calls, emails, referrals, and networking
Build relationships; assist with proposals, rentals, maintenance contracts, and upsells from service clients
Track pipeline in CRM; gather market intel for fleet expansion
Goal: Support 5–10 new accounts in Year 1
Accounting & Financial Management (35–40% – Expanded Focus)
Manage daily finance in QuickBooks: Process AR/AP, invoicing (repairs + rentals), payroll, job costing (track labor, parts, equipment per job/project)
Reconcile bank/credit card statements monthly; track cash flow, customer deposits, and receivables aging
Prepare monthly reports: P&L, balance sheet basics, cash flow statements, rental utilization (per-machine revenue, depreciation schedules), and fleet metrics (maintenance costs, asset tracking)
Assist with budgeting/forecasting: Compile data for annual budgets, monitor variances (parts, fuel, labor), input pro formas for equipment loans/leasing (70–80% financed)
Handle sales/use tax on rentals (MA/VT), depreciation entries, vendor payments, and basic cost analysis (e.g., margins on service vs. rental, parts markup)
Flag issues, support CPA coordination for taxes/audits, and maintain accurate asset records for financing
Compliance & Risk Support (10–15%)
Track renewals (business licenses, sales tax filings, insurance certs, DOT/OSHA basics)
Manage pre-rental inspections, certificates of insurance for clients, and basic claims paperwork
Help maintain safety/training logs and shop/yard compliance records
General
Collaborate with CEO and Service Director (Mike Ferraraccio) on pricing, efficiency, and growth strategy
Ad hoc: Marketing support, rental software setup (e.g., Quipli basics), special projects
Required Qualifications
2–5 years in sales support, bookkeeping, admin, or related (construction/equipment/rental a plus)
Associate’s or Bachelor’s degree (or equivalent experience)
Solid QuickBooks proficiency (AR/AP, job costing, reporting) + Excel/CRM basics (willing to advance)
Strong organization, attention to detail, and communication skills
Valid driver’s license; reliable transportation
Preferred
Experience with equipment rental accounting (depreciation, revenue recognition, sales tax)
Familiarity with MA/VT regulations or construction/heavy equipment
Proactive, detail-oriented mindset for a scaling small business
