Position Summary
The Estimating Assistant provides essential support to the Estimating Department, ensuring the smooth and efficient coordination of all pre-construction activities. In this role, you will monitor incoming bid invitations, identify projects that align with the company’s target scopes of work, and recommend qualified opportunities for estimators to pursue.
You will also manage a variety of pre-construction administrative tasks, including organizing blueprints and specifications, obtaining vendor quotations, and assembling complete bid packages. Your attention to detail will help ensure that all submissions are timely, accurate, and professionally presented.
Working closely with our estimators, you will play a key role in maintaining the accuracy, organization, and consistency of every bid from initial review to final submission.

Key Responsibilities
• Monitor the Trinity Constructors estimating email address to explore opportunities for projects that fall in line with our normal scopes of work.
• Ensure all approved project information is accurately uploaded and maintained in the project management software.
• Gather and review all required documentation including drawings, specifications, geotechnical reports, scopes of work, and project durations to ensure the preparation of a comprehensive and accurate bid proposal.
• Organize, label and folder all documents as needed into Plan swift software.
• Over time the estimating assistant will be expected to preliminary review building plans to note any abnormalities and review projected schedules.
• Request, receive, and organize all material quotes per project specifications for the assigned project. Moving towards assisting with the input of prices into the division sheets.
• Send proposals and conduct follow ups to ensure they were received.
• Track the progression of the bid process to ensure no timelines or deadlines are missed.
• Over time be able to review all takeoffs and division sheets for accuracy.

Qualifications
• High-school Diploma or Equivalent
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Strong organizational skills with high attention to detail and accuracy.
• Excellent communication and interpersonal skills.
• Ability to work effectively under tight deadlines and manage multiple priorities.
• Ability to read and interpret construction drawings and specifications preferred.
• Valid driver’s license and reliable transportation.
