In 1976, after working in the construction industry for ten years, JACK SPOHN had a goal in mind — he wanted to create a manufacturer’s rep agency that possessed a strong focus on building and maintaining relationships. He did not want to step out of the picture once an order was received, but rather become a local presence for reliable, honest and knowledgeable information on the products and ser

vices his company would provide.
…And so began his life as a manufacturer’s representative. It’s really quite simple… quality manufacturers located in remote corners of the world need sales representation in distant markets. Likewise, architectural design communities and building contractors need knowledge of, and access to, the industry’s best products. Although the dynamic is relatively simple, to excel at it requires superior levels of service, trust and accountability. Jack Spohn was inspired to do it better than anyone else. Fast forward over three and half decades and you will find an organization lead by ERIC SPOHN that still embraces those original ideals. Although now covering three states with an extensive array of architectural products, ten sales associates and wall-to-wall project management of each order, Spohn Associates, Inc. has always been fueled by the power of human relationships. We are inspired when architects are empowered to design; when manufacturers dare to innovate; and when contractors recognize the value of quality and service. Purpose: The Accounting Manager is responsible for assisting our Chief Financial Officer with day-to-day administrative and accounting tasks. The responsibilities of this position include and are not limited to the following:

Day-to-Day Tasks

- Enter new projects in accounting software

- Bill all projects per project manager direction

o Making sure contract billing requirements are met

o Complete waivers of lien and obtain waivers from vendors when required.

o Scan billings to software

- Record all cash receipts and deposit in bank

- Print Accounts Payable checks and disburse

- Record journal and job cost entries

- Audit accounts

- Record Monthly Depreciation

- File reports

- Month End Close for Accounts Receivable, Accounts Payable, and Job Cost

- Bank Reconciliations

- Run job closeout reports and file when complete

- Order insurance certificates for projects, keep copy of certificates, and keep track of certificates as jobs close. Update list of certificates from Insurance Co. each June.

- Update Ohio Worker Comp Certificates to customers as needed.

- Send W-9 forms when requested.

- Keep track of all closed job files.

- Year End Duties

- General knowledge of the construction industry preferred, but not required

• Answer and direct phone calls or take messages

• Keep coffee system functional and stocked
• Receive and prepare mail and packages
• Manage our sample library
• Manage phone system

Requirements:

Candidates must have the ability to handle multiple projects simultaneously and possess an adaptable personality. We are looking for individuals with a strong work ethic, a flair for organizational skills and takes great pride in their work!

• Friendly and professional communication skills
• Familiarity with AEC industry, construction drawings and construction lingo

The role of our Superintendents is to support the Operations Department by providing field services necessary to obtain information to successfully manage scope of work, expectations, and schedule all while maintaining highest level of customer service and satisfaction.


Duties/Responsibilities:

Communicate with team regarding progress of jobsites through site reviews, field measures, and installation reviews

Routinely check the status of projects in order to determine site readiness for field measuring and installation

Determine appropriate utilization of building scans / modeling technology

Determine, verify, and record needed hard dimensions to fabricate the appropriate scope of work accurately

Identify and verify substrate material and construction compared to required substrates

Identify and communicate potential issues

Transcribe field dimensions for purpose of fabrication when required

Perform installation reviews and trouble shoot potential issues

Actively participates in superintendent, installer, and operations meetings

Communicate with installers, principals, and customers when required

Displays professionalism and leadership at all times

Effectively reads and understands contract documents & shop drawings

Completes project reports and safety inspections on a routine basis

Excellent written and verbal communication skills

Excellent time management and multi-tasking skills

Takes proactive approach to managing tasks across multiple projects

The role of our Project Managers is to plan, manage, supervise, and complete projects according to quality standards, deadlines and budget while maintaining the highest level of customer satisfaction. Project manager acquires resources and coordinates the efforts of team members, principals, and subcontractors in order to deliver projects according to plan and budget.

Duties/Responsibilities:

Works with Superintendents and Project Coordinators to define overall plan for ex*****on of the project

Work in partnership with Superintendent to ensure that the project is being constructed in accordance with the contract requirements, industry standards, and within schedule

Reviews and updates weekly and or monthly job status reports

Manage potential schedule delays and promptly notify all parties via request for extension of time and/or additional costs as per terms of Contract

Maintain open transparent communication with Spohn team with regard to any and all problem areas on a project

Maintain good relationships with all parties, internally/externally, involved with the project

Effectively communicate project expectations to team members, customer, principals, and installers in a timely and clear fashion

Required Skills/Abilities:

Excellent time management skills with a proven ability to meet deadlines

Strong analytical and problem-solving skills

Education and Experience:

Effectively reads, understands, and executes contracts and purchase orders

Proficient in reading and understanding construction documents (architectural, structural, mechanical, specifications, etc.)

Experience with Metal Panels, Railings, and Skylights a plus

Experience with management of multiple subcontractors and material suppliers a plus

Proficiency managing multiple concurrent projects, on time installation, and within budget
