Job Title: Remote Secretary/Administrative Assistant for HVAC Company
Job Overview: We are seeking a skilled and highly organized Remote Secretary/Administrative Assistant to join our HVAC company. The ideal candidate will provide administrative support to our team and help ensure the smooth operation of our day-to-day tasks. This is a remote position, requiring excellent communication and organizational skills to effectively coordinate with team members and clients.
Responsibilities:
Administrative Support: Provide administrative assistance such as managing schedules, arranging inspections, handling email correspondence, and maintaining documentation.
Customer Communication: Serve as a point of contact for customer inquiries via email, phone, and other communication channels. Assist in scheduling appointments and addressing customer concerns professionally and promptly.
Data Entry and Record Keeping: Maintain accurate records of customer information, invoices, and other business documents. Input data into databases or spreadsheets as needed.
Invoice Preparation: Assist in drafting and editing invoices, reports, and correspondence. Ensure accuracy and consistency in formatting and content.
Calendar Management: Manage and update calendars for team members, scheduling inspections, repairs, installs, etc.
Remote Office Management: Maintain organization and efficiency in a remote work environment. Coordinate with team members virtually and ensure seamless communication.
File Management: Organize and maintain electronic files, ensuring easy retrieval and confidentiality of sensitive information.
Vendor Coordination: Assist in coordinating with vendors, suppliers, and contractors as needed. Facilitate communication and ensure timely delivery of services or materials.
Requirements:
Proven experience as a secretary, administrative assistant, or similar role.
Excellent organizational and time management skills.
Strong written and verbal communication abilities.
Proficiency in MS Office Suite and other relevant software.
Ability to work independently and collaboratively in a remote team environment.
Attention to detail and accuracy in data entry and document preparation.
Knowledge of HVAC terminology and industry practices (preferred but not required).
