How do you decide how much buffer to include in your estimates?

It depends on a mix of experience, project complexity, and risk factors. Here’s a practical approach:

1. Assess the Unknowns
If the project has a lot of uncertainty—new client, unfamiliar scope, or tight timeline—add more buffer. The less you know, the more you pad.

2. Use Historical Data
Look at similar past projects. Did you run over time or budget? Use that insight to guide your buffer percentage.

3. Consider Team & Resources
If your team is experienced and reliable, you might need less buffer. If you're working with new partners or juggling multiple projects, increase it.

4. Standard Rule of Thumb
Most professionals use a 10–20% buffer depending on risk level:

10% for well-defined, low-risk projects
15–20% for complex or high-risk work
5. Client Expectations
Sometimes, you build in buffer not just for the work—but for client changes, feedback loops, and decision delays.

At Promethean, we treat buffer as a tool for honest planning—not pa

Trust the Process — Or Pay the Price

In project management, numbers tell one story — but relationships tell another. When it comes to bidding and ex*****on, the SMELO categories (Subcontractor, Material, Equipment, Labor, Other) aren’t just about cost — they’re about trust.

Some categories are transactional. Others? They’re built on relationships, reputation, and reliability.

Which SMELO category do you think is most influenced by relationships and trust?

Think about the vendors you call first, the crews you rely on, or the suppliers who always come through. That trust can be the difference between profit and loss, chaos and control.

Let’s hear your take — and your experience.

Is estimating more art or science?
The truth is—it’s both.

The Science of Estimating

Estimating relies on data, logic, and structured methods. You use:

Historical project data
Mathematical models
Task breakdowns
Risk analysis
This side is all about precision, consistency, and reducing uncertainty.

The Art of Estimating

But no matter how much data you have, there’s always a human element:

Judging unknowns
Reading client expectations
Balancing optimism vs. realism
Adjusting for team dynamics or external factors
This is where experience, intuition, and communication skills come in.

The Hidden Drain in Your Budget Might Be Hiding in Plain Sight

Every seasoned project manager has that moment — the one where the numbers don’t add up, and you realize something in your SMELO categories is quietly bleeding your budget.

SMELO (Subcontractor, Materail, Equipment, Labor and Other) stands for:

Each one can make or break a bid. But sometimes, it’s not the obvious category that’s costing you the most — it’s the one you assumed was under control.

What’s your “aha!” moment when you realized one SMELO category was draining your budget?

And here’s a follow-up to really get you thinking:
Imagine you’re mentoring a new project manager — what’s your golden rule for managing SMELO costs?

Let’s share the lessons that only experience can teach.

Top-Down vs. Bottom-Up Estimating

Top-Down Estimating
This method starts with the big picture. You estimate the total cost or time for the entire project, then break it down into smaller components.

Best for: Early-stage planning, quick ballpark figures, or when details are limited.
Pros: Fast, simple, useful for setting budgets.
Cons: Less accurate, can overlook task-level complexity.

Bottom-Up Estimating
This method builds from the ground up. You estimate each task individually, then add them up for a total.

Best for: Detailed planning, complex projects, or when accuracy is critical.
Pros: Highly accurate, transparent, easier to track progress.
Cons: Time-consuming, requires detailed scope.

Let’s Talk SMELO: The Hidden Levers of Project Bidding

In the world of project management, every dollar counts — and every decision matters. When bidding a project, we often focus on the obvious: price, timeline, scope. But what about the categories that quietly shape the outcome?

We use the acronym SMELO (Subcontractor, Materials, Equipment, Labor, Other) to break it down:

Each one plays a role in cost, quality, and ex*****on — but which one is the real game changer?

Here’s the question:
Which SMELO category do you think is most often overlooked but holds hidden savings?

And to take it a step further:
Imagine you’re mentoring a new project manager — what’s your golden rule for managing SMELO costs?

Let’s share some wisdom. Your insight might be the key someone else needs.

After 17 Years, a Golf Kart Changed Everything.

You know that moment when your business turns 17 and starts acting like a teenager—moody, questioning everything, and suddenly obsessed with its identity?

Yeah. That happened.

I was sitting at an entrepeneurial business retreat and deep in thought, contemplating brand strategy, legacy, and whether I should just buy a llama farm instead… when out of nowhere, two guys come flying up in a golf kart like they just escaped a corporate retreat gone rogue.

They screech to a stop, sunglasses on, hair wild, and yell:

“Change the name! K-Belle is who you were. It’s time to show the company’s light.”

Naturally, I did what any seasoned entrepreneur would do:
I listened to the golf kart prophets.

So today, I’m thrilled (and slightly terrified) to announce that K-Belle is now… Promethean.

Why Promethean? Because we’re not just growing—we’re igniting.
We’re here to spark bold ideas, light fires under big dreams, and maybe, just maybe, drive a few more golf karts into the future.

K-Belle built the legacy.
Promethean is the launchpad.

Let’s fly.
