Construction Project Assistant
Job Requirements:
This is a full-time, permanent position in a fast-paced environment. The position provides administrative support to the Project Management Team and facilitates the coordination of multiple construction projects.
Specific responsibilities include, but are not limited to, the following:
• Receive, review and distribute bid invitations.
• Prepare and distribute contract proposals.
• Setup of new projects on shared corporate server.
• Manage electronic project documents, including contracts, change orders, invoices, insurance, reports, and email communications, and distribute documents to appropriate team members.
• Utilize online contract documentation systems, as required.
• Verify contracts are fully executed, secure proper paperwork and verify subcontractors are in good standing with vendor compliance prior to starting work; electronically file and distribute contracts, as necessary.
• Document and track potential change orders; document approved change orders; file and distribute to appropriate team members.
• Secure and compile electronic turnover documents; assure all documentation requested is received from subcontractors/suppliers for each ongoing project assigned; compile closeout documents and prepare turnover packages.
• Maintain certificates of insurance.
• Provide clerical/administrative support for project team, as requested.
• Answer and distribute incoming calls.
• Maintain and renew licenses, memberships, and permits.
• Maintain proper documentation for work performed.
• Adhere to company policies and procedures.
Qualifications:
• High school diploma or equivalent.
• A minimum of two (2) years’ experience in the commercial construction industry.
• Ability to handle multiple projects and support multiple team members with minimal supervision.
• Ability to work well with all levels of management and staff, including customers, vendors and contractors.
• Ability to handle confidential information.
• Exceptional problem solving skills.
• Solid computer and internet research skills, including experience with Microsoft Office Suite.
• Detail oriented and organized.
• Ability to work independently and as part of a team.
• Ability to meet deadlines and scheduling requirements.
• Strong work ethic.
