ACCOUNTANT/BOOKKEEPER / EXECUTIVE ADMINISTRATIVE ASSISTANT

We are growing and looking for a sharp, organized professional to join our team in a dual-role capacity or two people with strengths in either accounting or administrative duties.
Position Overview
We are seeking an experienced Accountant/Bookkeeper / Executive Administrative Assistant to provide financial management support and high-level administrative assistance to firm leadership. This is a critical, fast-paced role that requires discretion, accuracy, and the ability to manage multiple priorities in a professional engineering environment.
Key Responsibilities
Bookkeeping
Manage accounts payable and receivable, invoicing, and collections
Reconcile bank and credit card accounts on a monthly basis
Process payroll and maintain payroll records
Prepare and maintain financial reports, budgets, and project cost tracking
Assist with year-end tax preparation and coordinate with outside CPA
Maintain accurate records in Sage accounting software
Executive Administrative Support
Provide direct administrative support to the President and senior leadership
Manage calendars, correspondence, travel arrangements, and meeting coordination
Prepare, format, and proofread professional documents, proposals, and reports
Assist with contract administration and project documentation
Coordinate with clients, subconsultants, and government agencies on behalf of leadership
Maintain organized electronic and physical filing systems
Qualifications
Minimum 3–5 years of bookkeeping and/or executive administrative experience (engineering, or professional services firm experience a plus)
Proficiency in Sage accounting software is required
Advanced proficiency in the full Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams)
Strong attention to detail with excellent written and verbal communication skills
Ability to handle confidential information with the highest level of professionalism
Notary Public certification or willingness to obtain preferred
