Must be able to multitask in a fast-paced environment. Must work independently, be a self- starter and motivated. The ideal candidate must be attentive to deadlines and have the ability to prioritize work based on those deadlines. Required to communicate effectively with staff members, customers and vendors in a professional manner over the phone and by email. Must have a good working knowledge of Excel, Word and Quickbooks and have the ability to learn to operate within new computer programs easily. Must have residential construction experience.
Job Responsibilities:
• Receive emails for service order requests
• Download required documents for service order requests
• Contact vendors/staff members to fulfill service orders
• Contact homeowner/supervisor(s) to schedule service or address concerns
• Remind vendors/staff members of service obligations on a daily basis
• Communicate with customers regarding status of service order, required materials, etc.
• Compile billing information for service, create invoice in QuickBooks and submit invoice to appropriate contact
• Work with field supervisors to schedule work
• Track billable time for service work orders and EPO requests
• Strong written and verbal communication skills
• Exceptional organization and detail-oriented with project management abilities
• Strong customer service skills

• New construction knowledge preferred

Here at RVH we're a fast growing construction firm seeking an administrative assistant to help us at our Martinsville, IN office. Must be able to multi-task in a fast-paced environment, work independently and be a highly motivated self starter. The ideal candidate must be attentive to detail and deadlines and be able to prioritize assignments based on those deadlines. Required to communicate effectively and professionally with staff, customers and vendors through phone and email.

Responsibilities include, but not limited to:
-Download home plans from customer websites and upload plans to a shared file.
-Navigate customer websites to pull purchase orders
-Enter invoices into QuickBooks to include Purchase Orders and Estimates
-Assist with subcontract payroll and schedule

Qualifications:
Ability
-To accurately enter and interpret data
-Strong organization skills
-Excellent written and verbal communication skills
-Proficient in MS Excel and Word
-Previous experience in office administration a plus
-QuickBooks experience a plus but not required
-Construction knowledge a plus but not necessary.

Pay will be based on experience.
