Jobsite chaos starts when a massive kitchen hood gets delivered too early into the project.

Now this oversized piece of equipment is sitting in the middle of the project… taking up valuable space, impossible to move by hand because of the weight and size, and forcing every trade to work around it while trying to stay on schedule.

At Calvary Mechanical, we do things differently.

We coordinate delivery of large equipment directly to our warehouse first, where we safely unload it using our big boy forklift rated to handle systems up to 6,000 lbs. From there, our team fabricates custom steel rolling carts designed specifically for these systems.

When the project is actually ready, we load the equipment into our enclosed trailers, transport it safely to the site, roll it off the trailer, and roll it straight through the front door for installation. No jobsite clutter. No trades fighting for space. No unnecessary delays.

This creates a smoother workflow for every trade involved and helps the general contractor keep the project moving toward tight deadlines.

Commercial HVAC Project Coordinator –

Job Description

Position Summary

The Commercial HVAC Project Coordinator supports the successful ex*****on of HVAC construction projects by managing schedules, materials, documentation, and communication between internal teams, subcontractors, vendors, and general contractors. This role ensures projects are completed on time, within budget, and in compliance with plans, specifications, and local codes.



Key Responsibilities

Project Coordination & Scheduling

* Coordinate all phases of HVAC commercial projects from award to closeout
* Develop and maintain project schedules (equipment delivery, rough-in, inspections, startup)
* Work closely with Project Managers and Superintendents to track job progress
* Coordinate crane picks, equipment setting, and major installation milestones
* Schedule subcontractors (roofers, welders, electricians, TAB, controls, etc.)



Procurement & Materials Management

* Order HVAC equipment (RTUs, split systems, mini splits, etc.) and track lead times
* Coordinate delivery of ductwork, fittings, and job materials from fabrication/shop
* Verify equipment matches submittals and approved plans
* Maintain material logs and ensure jobsite readiness ahead of installation
* Communicate with vendors on pricing changes, availability, and delivery schedules



Drawings, Submittals & Documentation

* Prepare and submit equipment submittals for approval
* Track submittal approvals and revisions
* Coordinate with engineers and GC for drawing updates or changes
* Maintain organized project files (permits, plans, RFIs, change orders)
* Assist in preparation of closeout documents (O&M manuals, warranties, as-builts)



Communication & Client Coordination

* Act as point of contact between company, GC, and project stakeholders
* Attend project meetings (in-person or virtual)
* Provide regular updates on project status, delays, and milestones
* Coordinate with inspectors and AHJs for required inspections
* Address field issues and escalate when necessary



Financial & Administrative Support

* Assist with project budgeting and cost tracking
* Review invoices and ensure alignment with project scope
* Track change orders and ensure proper documentation
* Support billing process and job costing



Compliance & Quality Control

* Ensure installations meet mechanical codes and project specifications
* Verify proper permits are obtained before work begins
* Coordinate inspections and ensure passing results
* Support quality control efforts and punch list completion



Required Qualifications

* 2+ years experience in HVAC, construction coordination, or similar role
* Strong understanding of commercial HVAC systems (RTUs, ductwork, exhaust systems, etc.)
* Ability to read and interpret blueprints and mechanical drawings
* Experience working with general contractors and subcontractors
* Proficient in Microsoft Office (Excel, Outlook, Word)
* Strong organizational and time management skills



Preferred Qualifications

* Experience in commercial HVAC or sheet metal industry
* Familiarity with permitting processes and inspections
* Experience with project management software (Procore, Buildertrend, etc.)
* Knowledge of Florida building codes and HVAC regulations
