This position will work as a member of the accounting team; assisting in the preparation of current financial reports.

Essential Duties and Responsibilities:

Maintain Accounts Receivable sub-ledger; including recording payments, credit memos and resolving discrepancies with customers.

PRIMARY FUNCTION:
In support of the Project Management team, the Project Scheduler provides timely and accurate cost and schedule control support to maximize project profitability on assigned projects/contracts. Providing data and analysis to various administrative units within the Company, the Project Scheduler holds personal responsibility and individual authority (as established by the Company) in the accurate and properly documented scheduling as follows:

TYPICAL DUTIES:

Schedule Control
1. Develop detailed engineering and construction schedules with construction management and estimating for proposals and awarded projects.
2. Conduct weekly project progress reviews with Project Managers and staff; make adjustments to schedules as necessary.
3. Preparation of various project reports, such as 3 Week Look Ahead, Network Diagram, and Monthly Schedule and Invoice Submittal.
4. Develop resources and cost load schedules and Schedule of Prices.
5. Prepare revenue projection from cost loaded schedules
6. Perform tasks required to maintain baseline and working project schedules. This includes incorporating contract modifications, collecting and, reviewing progress data.
7. Create recovery and Time Impact schedules as required.
8. Insure all planning and scheduling activities such as schedule development, updates progress reporting and problem analysis activities comply with company and client requirements.
9. Notify construction management when schedule/resource/cost impacts are identified.
10. Responsible for timeliness and accuracy of reports.
11. Support supervision through preparation and maintenance of forecasts and schedules to reflect most current plans/requirements.
12. Interface with other departments to provide/gather scheduling data for items such as contract modification, bid comparisons, procurement, new work item estimates, resolution of potential schedule/work problems, and Requests for Equitable Adjustments.

IMMEDIATE SUPERVISOR:

Chief Financial Officer/General Counsel

PRIMARY FUNCTION:

Under the Direct Supervision of the CFO/General Counsel of the San Juan Construction, Inc. the Contracts and Legal Assistant assist with the administration of all company purchase orders, subcontract agreements and client contracts. (including all subsequent Amendments) and all associated task orders, change orders and modifications to the assigned projects. Support the General Counsel in daily responsibilities associated with contract management, insurance oversight, fixed assets and other duties as assigned. Assist with tracking and reconciliation of purchase orders and subcontract agreements with invoices and contract budgets and spend.

TYPICAL DUTIES:

Activities and responsibility of the Contracts and Legal Assistant specific to SJC’s responsibilities to the client include, but are not limited to the following:

Assure all SJC field activities are supported by adequate documentation, and contract requirements prior to the work being initiated.

Monitor and request any contract requirements to ensure contract compliance and deadlines are completed.

Request tax information and oversee any subcontractor qualification requirements.

Complete 1099’s at end of calendar year.

Track all contract related transactions and data in SJC’s enterprise software system

Provide the Clients with required notices and ensure contract compliance.

Interact with Operations and PMs to ensure contracts and purchase orders are in place. Send communication when contracts are completed or at 90% complete.

Works with Proposal Manager to assure the Contract and all subsequent modifications and change orders remain in full compliance of the requisite FAR Clause “flow down” Provisions.

Activities and responsibility of the Contracts and Legal Assistant specific to SJC’s management and administration of Subcontractors and Material Suppliers or Vendors include, but are not limited to the following:

Works with Operations Manager to document Scope of Work

Review Purchase Orders (PO) for appropriate approvals and process POs in SJC’s ERP System.

Acts as primary point of contact for Vendors/Vendor relations.

Assist General Counsel with responsibilities associated with the legal matters and risk management.

Assist with letters, memorandums, and other legal documents.

Other duties as assigned.
