Hey folks! Mary Nilson, our Co-founder of Nilson heating and A/C is looking to start her next chapter in the near future of retirement. With that, we are seeking a dynamic and highly organized Office Administrator to join our team! This vital role ensures the smooth and efficient operation of our office environment, providing exceptional administrative support and fostering a welcoming atmosphere for staff, clients, and visitors alike. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, with the ability to juggle multiple responsibilities confidently. Your energy and enthusiasm will help contine to drive our office’s productivity and professionalism every day!
Duties Include:
-Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
-Operate and handle incoming calls efficiently and route messages accurately
-Maintain organized filing systems, both physical and digital, ensuring easy access to important documents
-Dispatching and assist with calendar management and scheduling appointments
-Perform clerical tasks such as proofreading documents, data entry, and preparing reports with accuracy
-Support bookkeeping activities using QuickBooks online or similar accounting software for invoicing and expense tracking. Quickbooks online familiarity preferred
-Provide exceptional customer service by supporting client inquiries via phone or email and ensuring positive interactions
-Support additional administrative projects including proofreading materials, managing mail distribution, and assisting with personal assistant duties as needed
Qualifications:
-Proven office management experience with a strong background in administrative support roles
-Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
-Familiarity with QuickBooks online or other bookkeeping software is preferred
-Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
-Strong typing skills coupled with meticulous proofreading abilities
-Exceptional customer service skills with professional phone etiquette and multi-line phone system experience
-Prior experience in clerical work, data entry, filing, or medical/dental receptionist roles is prefferred
-Knowledge of office equipment such as printers, scanners, and fax machines along with computer literacy in general
-Strong time management skills to handle multiple responsibilities efficiently while maintaining attention to detail
