Job Summary

Sales Coordinator - General Office work in a small busy office of a local established and growing company.

This position functions as an assistant to the Sales Manager in addition to being an addition to the office team.

Responsibilities and Duties

This job has many varied duties. Responsibilities may include, but are not limited to:
• Entering customer orders via phone and email
• Preparing quotations for sales staff
• Preparing trade show & meeting materials for sales staff
• Assisting in the planning and organizing of our annual golf outing
• Sharing responsibility of answering office phone calls with other colleagues
• Assisting with various daily office processes including tasks like billing, customer management

Our industry is demanding, and demands may change on a daily or case-by-case basis. While each person in our office carries their individual job responsibilities, we cross-train duties so each person on the team can step in when needed (i.e. colleagues on vacation, sick day, etc.). Accountant’s Recruitment – Professional Supply

Professional Supply, Inc. is a growing, locally owned, and privately held national distributor of a complete line of maintenance / cleaning / janitorial supplies and equipment. We have been in business over 42 years (founded 1978). Professional Supply is seeking an experienced, external and internal customer service-oriented Accountant.

We are recruiting an accounting professional who takes initiative, can work without close supervision, drives projects forward, effectively deals with multiple priorities and frequent interruptions, and is a good written and verbal communicator.

This is a full-time, day shift opportunity (approximately 40 hours per week).

Responsibilities
Primary responsibilities:

Participates in monthly financial closing and reporting process, including preparing journal entries

Assist in preparing financial reports, estimates, and forecasts

Prepares bank and other financial reconciliations

Participates in and become the backup for coordinating weekly accounts payable processing

Participates in and become the backup for electronic banking, including remote deposits, electronic transfers, electronic payments (including ACH’s and wire transfers)

Maintains fixed asset reporting documentation and reporting

Maintains accurate and up-to-date document and filing systems (electronic and paper)

Participates in supporting company insurance annual quotation process, required inputs, and obtaining certificates of insurance (workers compensation, property casualty, vehicle, business owners, cyber, etc.)

The position will also support various Human Resource (HR) related activities
(some HR formal education, training, and experience would be helpful, but not a required prerequisite).

Some of the activities include:
Collecting, recording, and processing hourly payroll information

Tracking employee attendance and Paid Time Off (PTO)

Assisting with employee recruitment and orientation which includes setting up new employee files, assisting with candidate screening, background checks, and orienting new employees

Setting-up and maintaining online website and paper document reporting of employee information for the 401(k) plan and various employee benefit insurance plans (medical, dental, vision, short term disability (STD), long term disability (LTD), and term life.

Assisting with preparation for worker’s compensation audits

Participating in ad hoc projects and analysis as required

Helping to ensure compliance with accounting and tax regulations

Requirements:
Education

Bachelor's Degree with major in Accounting or Finance

Experience
3-5 years accounting experience, preferably in a distributor, manufacturing, or transportation setting. Some experience with 401(k), insurance, and human resource reporting would be helpful.

Technical skills
Excellent knowledge of financial and accounting processes

Enterprise Resource Planning (ERP) System Experience
Professional Supply’s ERP System is Step One. It’s a specialized Janitorial / Sanitation industry ERP system. This experience would be a plus, but this specific ERP system experience isn’t required.

Strong computer skills, including:
Microsoft Excel spreadsheet knowledge and skills including much mid-level experience.

Microsoft Word - Mid level Word skills and experience are required

Soft Skills:
Strong organizational and time management skills

Ability to build and maintain professional relationships

Strong written and verbal communication skills

Ability to handle multiple priorities with a high level of accuracy and organization

Ability to deal with frequent interruptions and get back to time sensitive task quickly

High level of ethics and integrity

Self-motivated, accountable, and results oriented

This is a full-time, day shift opportunity (approximately 40 hours per week). The job primarily involves on-site setting up, servicing, and handling warranty issues of commercial, industrial, and residential floor care equipment which includes all sized floor scrubbers and vacuum cleaners.

Good equipment diagnostic and problem-solving skills are a prerequisite. The job also requires mechanical aptitude. The ability to perform quality work in a timely manner is a requirement of the opportunity. Experience with alternating current and battery-operated electrical equipment, and propane powered equipment is desired.

We are seeking a candidate with electrical test and diagnostic skills. Ingenuity and resourcefulness are needed because, if the situation requires, in addition to repairing equipment with manufacturer’s replacement parts we sometimes fabricate our own replacement parts. We seek a candidate who is willing to earn manufacturer’s technician certifications.

The ability the effectively communicate with service department customers is also required. Basic computer skills will be part of the candidate’s skill set. The desire and ability to comply with company and service department policy and procedures is important in this position.

The job requires the physical ability to stand at a workbench, stand at a piece of equipment while working on it, and bending and flexibility while working on equipment.

Ideally, we seek a candidate with a valid WI driver’s license and a very good driving record so they could occasionally drive a small company vehicle in the course of the job.
