Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will have excellent communication skills, be proficient in office software, and have a strong ability to multitask. As an Administrative Assistant, you will provide support to various departments and assist in the smooth operation of our office.
Duties:
- Perform general administrative tasks such as answering phone calls, responding to emails, and managing correspondence
- Maintain and update company records and databases
- Schedule appointments and manage calendars
- Coordinate meetings and events, including preparing agendas and taking minutes
- Assist with project coordination and follow-up on action items
- Provide customer service support to clients and visitors
- Handle incoming and outgoing mail and packages
- Assist with basic bookkeeping tasks using QuickBooks
- Perform front desk duties such as greeting visitors, directing calls, and maintaining a clean reception area
Qualifications:
- Proven experience as an Administrative Assistant or similar role
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent written and verbal communication skills
- Attention to detail and accuracy in data entry and record keeping
- Ability to maintain confidentiality of sensitive information
- Proficient in QuickBooks Desktop
