One of the clearest signs that a meeting room has been designed properly is that nobody has to think about it.

In high-use, client-facing environments, that level of consistency doesn’t happen by accident.

In a recent project, our focus wasn’t on reinventing each space —
it was on creating a consistent AV framework across multiple meeting rooms so every environment behaved in a predictable way.

That meant:
• standardised meeting startup workflows
• consistent user interface behaviour across rooms
• reliable video conferencing performance
• environments designed to operate without IT intervention

Every room was engineered to behave consistently, regardless of how it was being used.

The result was a set of spaces where meetings could run without friction — and without the need for technical support in the background.

That kind of reliability is decided at design stage — not after installation.

Most meeting room issues are determined long before the room is ever used

A lot of the conversations we’ve had following last week’s heatwave have been similar — not about fixing systems, but about whether they were designed with this kind of pressure in mind in the first place.

Because in most office fit-outs, the core elements are well coordinated:
HVAC, M&E, layout, finishes.

But AV is sometimes brought in slightly later — once key decisions have already been made.

At that point, factors like:
• equipment heat output
• airflow and ventilation
• rack positioning and containment
aren’t always fully aligned with the wider design.

That doesn’t show up immediately.
It tends to show up later — when rooms are in constant use, or pushed harder than expected.

The projects that run more smoothly tend to have one thing in common:

AV is considered alongside the rest of the space from the start.

That allows for a more joined-up approach — where technology, infrastructure and user experience are designed together, not adjusted later.

It’s something we build into every project from the outset, so environments perform as expected from day one and continue to do so long after handover.

It’s also something that’s much easier to get right early than to retrofit later.

The current heatwave is a good reminder of something we often see overlooked in AV spaces. ☀️

It’s not just people that struggle in high temperatures — AV systems do too.

In warmer conditions, we often see a subtle shift in performance across meeting rooms and boardroom setups — not always obvious at first, but noticeable over time.

Excess heat can quietly impact:
• system reliability
• device lifespan

This is especially common in enclosed rooms, retrofit spaces, or where equipment hasn’t been designed with airflow in mind.

This is where office fit-out design becomes critical.

Accurately understanding how much heat AV equipment will generate — and feeding that into HVAC design — is something that needs to be considered at the design stage, not after installation.

When AV, ventilation, and space usage are planned together early in a fit-out, systems perform consistently. When they’re not, issues tend to show up later — often at the worst time.

That’s exactly where we work with clients — at the point where spaces are being designed, not just fitted out.

It’s a line we hear more often than you might expect — usually after a few small frustrations have added up.
